Trips and vehicles: LR to POD to balance freight.

A truck trip is not finished when the goods reach. It is finished when the signed LR is back, the bill has gone and the balance freight is in. This lesson walks one trip to that point.

Step by step

One trip, start to paid.

Names in bold are the words on the screen.

  1. Add the vehicle

    Open Fleet and press Add vehicle. Fill Registration number, Type, Insurance valid until, Fitness valid until and PUC valid until. Papers ending in the next 30 days show under Documents expiring.

  2. Make the LR

    Open Trips & LR and press New LR. Choose the Vehicle, type the Driver, From and To, the Consignor (who pays) and Consignor WhatsApp, the Consignee (who receives) and the Goods. Fill Freight ₹, Advance received from consignor ₹, Advance given to driver ₹ and Distance km.

  3. Add the e-way bill number

    If the goods need one, make the e-way bill on the government portal, then type E-way bill number and E-way bill made on in the same form. The portal works out when the bill ends from the distance and shows the time left.

  4. Print and send the truck

    Save. The trip gets the next LR number. Press Print LR in the list. As the truck moves, change the status in the list: planned, on the way, delivered.

  5. Record the POD

    Open POD & Balance. A delivered trip waits under Balance freight waiting. Press Add POD, choose the Photo of the signed LR, type Received by (name on the LR) and any Remarks written by the receiver, and press Save POD photo. With the paper in hand and no photo, press No photo · the paper is here.

  6. Bill and collect

    Press Send bill. If the consignor's number is on the LR, WhatsApp opens with the message written and you press send. When the money arrives press Mark paid and fill Deducted by the consignor ₹ (0 = paid in full), with the reason if anything was cut.

  7. Settle the driver

    Open Driver ledger. The advance from the LR is already there. Press Add entry for money the driver spent on a trip or gave back, or Settle · cash back to take the rest in.

A spend entry also goes into that trip's cost, so Trip profit needs no second entry.
Before you move on

Common mistakes, and how to check your work.

Common mistakes
  • Making an LR for a vehicle whose insurance date has passed. The LR is refused until the date is renewed in Fleet
  • Typing an e-way bill number without the distance. The portal cannot work out when the bill ends
  • Pressing Send bill before the POD is in. The portal refuses and says the POD is not back yet
  • Marking paid with a deduction and no reason. A reason is required
  • Expecting the portal to make or extend the e-way bill. Your office does that on the government portal and types the new date
It worked if
  • The trip shows in the list with its LR number and Print LR
  • After "delivered" the trip shows in POD & Balance
  • After Mark paid it moves to "Paid this month"
  • The driver's tab in Driver ledger shows the cash still with him

Questions about this lesson

Can I bill before the POD comes back?

No. The bill can go only after the POD is recorded, as a photo of the signed LR or as the paper itself.

Does it make the e-way bill?

No. You make and extend the bill on the government portal. Logi Bundals keeps the number, counts the hours left and reminds you.

Can I see where the truck is?

No. The status is what your office sets: planned, on the way or delivered. There is no vehicle tracking and no app for the driver.

Can a trip be opened again after delivery?

Only until the POD or the bill is recorded. After that it stays delivered, and a paid trip is closed.
