Rates and quotes: from a vendor sheet to a selling price.

A quote is only as good as the rate under it. In this lesson you add a vendor, load its prices, set your own cut and read the price a customer will pay.

Step by step

One sheet in, one price out.

Names in bold are the words on the screen.

  1. Open Rates

    Open Rates in the Money group. The screen is the Rate board. Four figures sit at the top: Countries priced, Vendors, Your cut and Sheets too old.

  2. Add the vendor

    In the box Vendor sheets press Add vendor. Fill Name, Type (Carrier, or Forwarder / consolidator) and Fuel surcharge %, and save. The vendor appears in the list with no prices yet.

  3. Load its prices

    Press Update beside the vendor. Paste one line per country as Country, price per kg, days, for example "Canada, 640, 3 to 4 days", and press Publish. Or use Or upload the Excel or CSV file: column A country, column B price per kg, column C days. Header rows are skipped and the file must be under 700 KB.

  4. Read the message

    The portal answers with the number of countries updated. If a price moved more than 15% from the sheet before, the message names those countries. The new price is already in use, so check those lines for a typing mistake straight away.

  5. Set your cut

    In the box Your cut fill Cut % and Minimum ₹ and press Save. On every price the portal takes the percentage or the minimum, whichever is more.

  6. Read the board

    The table Rate board · selling price incl. GST shows each country at 0.5 kg, 5 kg and 10 kg, and the vendor it is Cheapest via.

  7. See a quote

    Open Quotes & Booking. Choose Country and type Weight (kg). The panel Prices from Rates lists every vendor for that country, lowest price first, with Best on the first one.

Before you move on

Common mistakes, and how to check your work.

Common mistakes
  • Writing 1,250 with a comma. The comma separates the columns, so type 1250
  • Putting the fuel surcharge inside the price per kg and again in Fuel surcharge %
  • Leaving a sheet for more than 30 days. The vendor then shows "Hidden from quotes"
  • Ignoring the "moved over 15%" message. It is the only prompt you get
  • Expecting the cut to apply per customer. There is one cut for the whole company
It worked if
  • The vendor shows "Updated today" and the number of countries
  • The rate board has a price at 0.5 kg, 5 kg and 10 kg for each country
  • Quotes & Booking lists the vendor for that country
  • Sheets too old shows 0, or names the vendors you already know about

Questions about this lesson

What shape must the rate sheet be in?

One line per country: country, price per kg, days. A file needs the same three columns in A, B and C. A sheet with weight slabs or zones has to be brought to that shape first.

Which weight is charged?

The weight is rounded up to the next half kilo, and the least is 0.5 kg. A parcel of 4.2 kg is priced as 4.5 kg.

Does the customer see my cost or my cut?

No. The Rates screen says it plainly: cost and cut are never shown to customers. Staff without a money app see the selling price only.

Is the GST rate fixed?

It starts at 18% and is marked "verify" in the product. Confirm the rate for your service with your CA.
