Booking a shipment: from the counter to the truck.

One booking makes the AWB number and the invoice together. The parcel then waits on the floor until it is weighed, labelled and loaded. This lesson follows one parcel through all three screens.

Step by step

One parcel, three screens.

You need one customer and one vendor with rates first. Names in bold are the words on the screen.

  1. Open a new booking

    Open Quotes & Booking, or press + New and choose New booking. The form is called New booking.

  2. Fill the form

    Choose the Customer. Type Receiver name and Destination city, choose the Country, type Weight (kg) and the Item.

  3. Pick the carrier

    On the right, Prices from Rates lists the vendors for that country and weight. Click one. The button changes from Pick a carrier to "Book with DHL Express · ₹4,804".

  4. Book

    Press that button. The message reads like "Booked LB-240817 · ₹4,804 · invoice INV/0417". The shipment panel opens with the status Booked, the invoice number, a Timeline and Print label.

  5. Check it in on the floor

    Open Floor. Scan the box or type the AWB. Fill Weight on the scale (kg), Boxes and HSN code, tick Sender KYC checked, and press Print label. When the parcel shows 100% ready, press Ready for loading.

  6. Start a load

    Open Load & Dispatch. Choose the carrier under New load for, type the Vehicle number and press Start load.

  7. Scan and dispatch

    On the load card type or scan each AWB and press Add. Then press Dispatch 3 parcel(s) and confirm. Each parcel becomes Moving, and its timeline says which carrier and vehicle it was handed to.

Common mistakes, and how to check your work.

Common mistakes
  • Trying again when a booking is refused for credit. The refusal names the amount due, so collect that first
  • Scanning a parcel onto another carrier's load. The portal refuses it with "Wrong truck"
  • Trying to load a parcel that is still in check-in. Finish it on the Floor first
  • Skipping the scale. A difference from the booked weight is shown, but the customer was billed for the booked weight
  • Looking for a missing carrier in the price list when its sheet is older than 30 days
It worked if
  • The message shows an AWB, a price and an invoice number
  • The invoice is in Invoicing without anyone typing it
  • The parcel leaves the check-in list when you mark it ready
  • After dispatch the load shows "Gone" with the time
  • Tracking Desk shows the parcel as Moving

Questions about this lesson

Can I type my own price while booking?

No. The price is worked out again from your rates at the moment of booking. To change it, change the rate sheet or your cut in Rates.

Does booking here also book with the carrier?

No. Booking and labels through carrier software are still marked "Not yet". You book with the carrier the way you do today. A booking with a partner linked on Network does land on that partner's floor.

When is the invoice due?

For a business account the due date is 15 days after booking. For a walk-in or a partner it is the booking day itself.

What if the scale weight is different?

The Floor shows the difference against the booking. It does not change the invoice. Your office decides what to do with the customer.
