Driver ledger and trip expense software: cash out, cash spent, cash back.

A driver leaves with an advance and comes back with a story. Logi Bundals keeps one ledger per driver: what he was given, what he spent on which trip and what he returned. The spending lands on the trip, so profit per trip needs no second entry.

Three kinds of entry

Every rupee has a trip beside it.

The first entry is made for you. The rest are typed when the driver is back.

  1. Given: the advance on the LR

    When an LR is made in Trips & LR with an advance to the driver, the ledger gets an entry by itself, marked "Given", with the LR number. Extra cash handed over later is added as "Cash given to the driver".

  2. Spent: against one trip

    A spend entry needs the trip and what it was for: diesel, toll, driver or other. The portal refuses a spend on a trip that driver did not drive. The same amount is added to that trip's costs.

  3. Returned: cash back

    "Settle · cash back" opens an entry for the full balance, ready to save. A part return is typed as "Cash returned by the driver" with the amount.

  4. Trip profit: the other half

    Freight, less any deduction by the consignor, less diesel, toll, driver and other costs, per trip. The same trips can be read by vehicle or by route. Driver costs arrive from the ledger. Diesel and toll can arrive from statements.

FASTag and fuel card

Statements go in by copy and paste.

In Trip profit, "Upload FASTag or fuel statement" takes pasted lines: date, vehicle number, amount, place. Each line is put on the trip that vehicle was on that day. FASTag lines count as toll and fuel card lines as diesel.

A line with no trip to sit on goes to "Statement lines with no trip", with the reason. From there it is put on a trip by hand, or removed with "Not ours" when the charge is not yours.

Header lines are skipped, and a line pasted a second time is not counted twice. Other costs, such as a repair on the road, are typed with "Add a cost".

These are the demo company's trips. It runs three small vehicles beside its courier work.

What it does, and what it does not.

It is a ledger and a sum. It does not watch the truck.

It does
  • One ledger per driver: given, spent, returned and the balance
  • The LR advance entered by itself
  • Every spend tied to a trip the driver really drove
  • FASTag and fuel card statements pasted in and put on trips
  • Profit by trip, by vehicle and by route for the month
  • Trips that lost money counted at the top of the screen
It does not
  • Connect to a FASTag bank or a fuel card company. You paste the statement
  • Track the vehicle, or give the driver an app
  • Work out mileage per litre, or read an odometer
  • Pay the driver's salary or trip allowance. The ledger is for trip cash
  • Keep an account for the owner of a hired truck
  • Hold a photo of a diesel or toll receipt against an entry

Questions about the driver ledger

Can a driver enter his own expenses?

No. There is no driver app. The office types the entries when the driver returns or phones in.

What stops a toll being counted twice?

A statement line that is already there, with the same vehicle, date, amount and place, is skipped when pasted again. A toll typed by hand and also pasted from a statement would be counted twice, so use one way for each kind of cost.

Can two drivers have the same first name?

The ledger goes by the name typed on the LR, and capital letters do not matter: "salim" and "Salim" are one driver. Give two drivers different names.

Is profit shown for trips that are not paid yet?

Yes. Profit is freight less costs for trips started in the month, whether or not the balance freight has come in. POD & Balance shows what is still waiting.

Can I start using it today?

Not yet. The portal is being prepared for launch. The sign-up page and the demo page always show whether they are open.
